Introduction
weppiXPRESS is a tool for effective work. It allows not only data sharing but also transferring large amounts of data, e.g., 20 GB, between accounts with just a few mouse clicks. Additionally, complex folder structures with any number of subfolders can be created. Work processes can be divided into individual tasks, assigned to specific people, and given deadlines. A traffic light function provides total transparency in an overview, immediately highlighting when tasks fall outside the planned time frame. Everything else is learning by doing.
Set Language
After logging into your account, you can select the appropriate language from a variety of options at the bottom of the screen. The selected language is saved and will be preselected the next time you log in.
Default Folders
The following default folders exist: Main Folder, Transfer, and Templates.
The Main Folder
This folder contains the Transfer and Templates folders as well as all other folders and subfolders created by the account owner.
The Transfer Folder
The Transfer folder serves as temporary storage for data. When receiving a shared link from another account, clicking it and logging into your account allows you to transfer the shared data to your own account. Click on "Menu" and then "Save in Transfer Folder." This allows large data transfers of up to 20 GB. If you want to place these folders or files elsewhere in your account, follow the steps described below.
The Templates Folder
The Templates folder allows you to create sample structures of complex folder setups that can be copied and reused as needed.
Create Folders
New folders can be created by clicking "Menu" and then "Create Folder." Everything else is self-explanatory.
Create Subfolders
Subfolders can be created by opening an existing folder, clicking "Menu," and then selecting "Create Folder." The process is self-explanatory, and you can create unlimited folder hierarchies.
Color-Code Folders
Folders can be color-coded by clicking the three dots located at the top right of each folder. In the submenu, select the desired color.
Explorer Structure and Folder Overview
On PC and notebook screens, the Explorer structure is located on the left side of the screen, while the folder structure appears as tiles on the right. On mobile phones, you can only see either the Explorer structure or the folder overview at a time. You can switch between them by clicking the left icon in the top menu for the folder structure or the grid icon for the folder overview.
Folder Structure
Building complex folder structures involves opening a folder and then creating subfolders using the steps described earlier, organizing them into different hierarchies.
Upload Files
Files can be uploaded directly to the main folder, but this is not recommended. Before uploading, you should create and open a designated folder. Click "Menu" and then "Upload Files." This opens the upload window. At the bottom, click "Drag files here or click." The selected files will be displayed in the upload window. Click "Upload" to start the process. A progress bar will appear next to each file, indicating the upload status.
Upload Folders
Entire folders with subfolders and files can be uploaded with a single click. Click "Menu" and then "Upload Files." This opens the upload window. Click "Drag files here or click" at the bottom. The selected folders and files will be displayed. Clicking "Upload" starts the process, and blue progress bars indicate the status. Once completed, the uploaded folder and its contents appear in the Explorer structure.
Download Files
To download files to a computer or mobile phone, open the folder, click the three dots in the top right corner of the file, and select "Download." The process is self-explanatory.
Download Folders
Folders can be downloaded in a similar way. Open the folder, click the three dots in the top right corner, and select "Download." The folder and its contents will be compiled into a zip file, ready for download.
Enable Comment Function
The comment function can be activated for files by selecting them and enabling the comment toggle in the top right corner. Only users with their own weppiXPRESS account can comment. Users accessing files via a shared link without an account cannot use this function. Each comment triggers an email notification to the account owner.
Enable Rating Function
The rating function can be enabled in a similar way to comments. After selecting files, activate the rating toggle in the top right corner.
Example: A photographer uploads event pictures to a folder, enables the rating function, and shares the link. The recipient sees a traffic light icon (green, yellow, red) for each photo, allowing them to indicate their preferences. The photographer can then prioritize the preferred images for further editing.
Apply Watermark
A watermark can be set by clicking the account icon, selecting "Settings," and entering a watermark text (e.g., "SuperPhoto Studio").
Enable Watermark
A photographer can apply a watermark to all shared images by enabling the "Add Watermark to Shared Images" option when generating a share link. This protects the photographer’s rights, as the watermark remains visible.
Enable Reservation for Shared Folders
Recipients of shared links can reserve shared folders by clicking the three dots and selecting "Reserve." They must enter their company name, address, phone number, and email.
Example: A recruitment agency shares folders containing applicant profiles and enables the reservation feature. Once an employer reserves a candidate, that candidate cannot be reserved by another employer.
Set Terms and Conditions (T&C)
T&C can be set by clicking the account icon, selecting "T&C," and entering the desired terms.
Activate T&C for Shared Files
To require recipients to accept T&C before accessing shared files, enable the "Activate T&C for Shared Files" option when creating a share link.
Example: A real estate agent shares a property exposé. Recipients must first accept the T&C and verify their email before downloading.
Edit image files
You can edit the image size by clicking on the image and then clicking on the crop icon at the bottom of the image. This opens the image size menu. Here you can crop the image to the desired size. Various options are available, such as press format, LinkedIn, Facebook, Instagram, or X.
Share data
You can share individual files or multiple folders, including existing subfolders and files. To do this, proceed as follows:
- Click on "Select" in the top menu bar. Now, a white circular icon appears on all open files and folders. Click on all circles in the files and/or folders you want to share.
- After selecting the files and/or folders, click on "Menu" in the top menu bar and then on "Share". The sharing menu will now open. Here, you have the option to send the share link via email or click on the copy icon and send the share link via a messenger, such as WhatsApp.
- The recipient of the share link clicks on the link and gains access to the shared files and/or folders. They can then download the files and folders if needed.
Transfer files and folders from a share link to your own account
Recipients of a share link can transfer all data shared via the link to their own weppiXPRESS account with a mouse click. To do this, they must be logged into their own weppiXPRESS account or log in after clicking the share link. Then, click on "Menu" and then on "Save files in transfer folder". Even large amounts of data, such as 20 GB, are transferred to the own account within seconds and can no longer be deleted by the sender of the share link.
Rearrange received files and/or folders
Received files and/or folders can be copied or cut from the transfer folder and placed as a main or subfolder. To do this, click on "Select", mark the file or folder, and click on "Menu" and then "Copy" or "Cut". If you want to paste the file or folder in the main overview, click on "Main Folder", then click on "Menu" and "Paste". If you want to insert the file or folder into an existing folder or subfolder, open that folder by clicking on it. Then, click on "Menu" and "Paste".
Password protection for folders
You can protect folders with a password by clicking on the three dots on the folder and then on "Password". Then, enter a password and save it. Recipients of share links can only open the folder if they know the password.
Closing (finishing work on a folder)
If you want to mark the use of a folder as finished, click on the three dots on the folder and then on "Close". The folder will be marked with a star and can no longer be opened by recipients of a share link.
Emails
Adding contacts: The first step is to add the contacts of the people you want to collaborate with. It is important that these people have their own weppiXPRESS account and that you know the email address they use for their account.
In the overview of registered "Contacts", the word "Connect" appears on the right. You must click on this. If the previously registered email address is correct, the word "Connected" will appear afterward. You can now integrate this contact into flows.
Sending emails: To send an email, click on "Menu" and then on "Compose new email". The form where you create the email will now open. Select the recipient, enter the subject, and write the content of the email in the text field. You can also attach one or more files and send the email. The recipient will receive a notification email in their regular email account, informing them that a new email is available for them in weppiXPRESS. By clicking on the included link, they will be directed to the email in their weppiXPRESS account. All sent emails can be seen in "Outbox".
Receiving emails: When receiving an email from another weppiXPRESS user, click on the included link to be directed to that email. All received emails can be viewed in "Inbox".
Todos
To create a ToDo, click on "Menu" and then on "Create new ToDo". The form to create the ToDo will now open. Select the recipient, enter the subject, and describe the content in the text field. You can also attach one or more files and save the ToDo. The recipient will receive a notification email in their regular email account that a new ToDo is available for them in weppiXPRESS. By clicking on the included link, they will be directed to the ToDo in their weppiXPRESS account. All created ToDos can be seen in "Current ToDos". If a ToDo is marked as completed by the recipient, it will be visible in "Completed ToDos".
Flows
What is a Flow? A Flow is a project divided into many small steps. The assigned people complete their designated tasks. A deadline is set for each task. The "FlowBoard" overview shows all flows and, using a traffic light function (green/yellow/red), indicates how many tasks a flow has and their completion status.
Creating a Flow: To create a flow, click on "Menu" and "Create new Flow". The first page of the creation form appears. Enter a name for the flow. If working in a team, add admins who can see all tasks and intervene if needed. Click "Next" to describe the first task, assign it to a person, and set a deadline. Click "Next" to create additional tasks until the flow is complete. Click "Save". You can also select "Create as template" if similar flows will be needed in the future.
Creating a template: To create a template for a flow, click "Menu" and "Create Template". Follow the same steps as creating a flow. Saved templates can be reused for different projects.
FlowBoard: The FlowBoard is the overview of all flows. Clicking on "FlowBoard" opens this overview.
Traffic light function: Indicates whether tasks are on schedule: Green = on time, Yellow = 1 day before deadline, Red = deadline expires today. A blue box shows completed tasks.
Created Flows: Shows all flows created by the admin.
Team Flows: Displays flows created by another admin where you are a co-admin.
Assigned tasks: Shows all tasks assigned to you.
Comment and chat functions: Available in flows and individual tasks.
Linked Flows: Folders with linked flows are marked with an icon. Click the three dots on a folder, then "Flows" to see the linked flows.
